Exhibitors access


Access to the exhibitors parking with your nominative badge.

When you arrive, join the exhibitor welcome desk at the John Rogers building to get your expo FIRA pack.

Move-in

Sunday, October 20th: 3:00 PM - 5:30 PM

  • Check-in at the John Rogers Building for exhibitor credentials and booth maps. Only indoor exhibitors may check-in on Sunday due to lack of outdoor security.
  • Use the East Gum Entrance for access. You will be escorted to the South Side of the Main Expo Building for load-in. Please note that this is the only load-in and load-out area for the Main Expo Building.
  • Due to simultaneous events, check-in is strictly during the specified times.

Indoor and Outdoor Exhibitors:
Monday, October 21st: 8:00 AM - 4:00 PM

  • Check-in at the John Rogers Building. Both indoor and outdoor exhibitors can check in during this time.
  • Use the East Gum Entrance for access. Exhibitors will be escorted to their booths either in the Main Expo Building via the South Side for
  • load-in or to the outdoor robot zone past the RV park in the gated dirt parking area.
    All setups must be completed by 4:00 PM.

Outdoor Exhibitors Needing Additional Load-In Time:
If you are prt of the demo zones and need additional load-in time, you can arrive on Friday, October 18th between 8:00 AM - 5:00 PM. There will be a fenced area for set up, and security will be on site starting at 5:00 PM that evening.

To coordinate, please email marci@thebuzzpr.net or call (831) 747-7455. Do not just show up; pre-coordinate for Friday if outdoor large robot equipment is required. Due to another event on the fairgrounds, indoor vendor set up cannot begin until Sunday.

Important: If you have a machine or robot for the interior exhibition zone, coordination needs to be arranged with Marci Bracco Cain at marci@thebuzzpr.net. Timing is key, as only a couple of robots can be moved in at a time.

Move-out

Move-out begins at 4 PM on Thursday, 24 and must be completed by 7 PM the same day. Please ensure that nothing is left behind, as all items need to be removed from the premises. Kindly arrange for your own shipping. Thank you for your cooperation and understanding! We appreciate your efforts in making this event a success.
